Benefits of Party Tent Rentals

Benefits of renting a party tent and how to choose the right one

NaviTrac Engineered Frame Tent Rental with optional Clear Top

If you’re planning a special outdoor occasion, such as summer wedding, you’re probably already overwhelmed with how costly such an event can be. Choosing the right tent to fit all your guests is not only a challenge - there are so many shapes, sizes and colors on the market! - but it can also be terribly expensive. The tent structure alone can cost you anywhere between $500 and $5,000, the flooring can get to above $2,000, chandeliers will be around $50-$500 each, and the side walls will cost you a total of $400 - and that’s, if you decide to go with a moderate-sized tent.

The worst part is that, after your party is over, you’re unlikely to use your tent ever again. So, should you give up on your dream outdoor wedding or special celebration? Of course not - you just have to be smart about it. If you’re located or planning a party in South Jersey, renting a party tent with Equipment & Event Rental can not only spare you a lot of money, but also save you some of the troubles, associated with finding the perfect tent and getting it ready for the big celebration. A quick calculation will show you that the cost of buying an average-sized tent can get up to $10,000 and renting one of our fabulous high-peak tension tent will cost you only around $400 per day! Apart from the obvious expense-related benefits, we at Equipment & Event Rental can also help you pick out the most suitable tent for your dream celebration or party.

If you’re one of the people that like to be prepared in advance, don’t worry - we’ve got you covered. With the many choices of types, sizes and shapes of tent rentals available on the market, getting your head around a single one can be quite challenging. The first thing you need to know about wedding or party tents is that they’re, generally, divided into two types: pole tents and frame tents.

If you’re looking forward to your green outdoor wedding, a pole tent might be the better choice for you. These have to be staked, which makes them an excellent choice for grass. Pole tents are typically the more popular choice, when it comes to party tents, as they’re larger in size, easy to set up and relatively portable. The only disadvantage is that you’ll need to place the tables, dance floors and stages around the central pole.

Frame tents are generally more versatile and can be installed on almost any surface, including asphalt or a deck. They’re the superior option, as they’re suitable for both outdoor and indoor celebrations, but are generally more expensive. There are no poles inside, which means you’ll get more square footage available - and you won’t have to worry about fitting your sеating arrangements around the poles.

There is a third type of tent, which is very similar to the pole tents. The Tension Party Tent comes with a much greater center height - this is why they’re often called high peak tents. If you’re looking for a dramatic effect, a high peak tent will be your best choice, and these types of tents are extremely popular for weddings or any sort of formal events. Tension tents are just as easy to set up and install as the pole tents, and are ideal for wet and windy weather, as they offer greater stability.

An Engineered Frame Tent is another option. An ultimate option. It is a durable tent that you can use for parties of all sizes. Thanks to its adjustable size, you will have no problem taking advantage of it for any event. You can rent this tent in any length needed by adding additional 20' extensions. You can enjoy its stronger build and appealing design no matter the event you are hosting. It is a perfect party tent rental for everything from laid back events to formal occasions, like weddings and graduations. Its modern and simple design ensure it will fit into all events. You can enjoy this extra covered space no matter what you decide to do.

Great, you’ve chosen your type of tent, but how about the size? You probably already have a pretty solid idea as to the number of guests that will attend your party or event. Different types of parties, however, require different square space per person. As a rule of thumb, allow approximately 15 square feet per wedding guest, 10 square feet for cocktail, and 13-14 square feet per person for a garden party.

If math’s not your strongest suit, follow Equipment & Event Rental’s simple tips for picking the right size of tent for your party. If you’re looking at around 50-100 guests, a 30x60 pole tent will provide you with enough space to eat, talk and even do a bit of dancing inside the tent. Parties with up to 150 guests usually require a 40x60 pole and for those massive celebrations, go with a 40x80 Engineered Frame Tent that can easily host up to 200-250 guests!

When thinking about the type of tent and the space you’ll need, make sure to take into account the possible additions, such as lighting, heaters and fans. Make sure you’ve also included extra space for the chairs, bars, tables and, of course, food. We at Equipment & Event Rental can also offer you a smaller tent you can use as a catering tent, as well as flooring and side walls, which are a great idea, if you’re expecting a windy or a chilly evening. Make sure to check the material of the tent you’re looking to rent, as some materials are generally more suitable for specific climates, than others. Polyester is the most popular choice, as it’s affordable, durable and water-proof, but a combination with vinyl provides UV-resistance, as well. If you’re hosting your party in a humid climate, ask us about our tents with UV-resistant polyethylene, as they’ll provide you with extra resistance to moisture and rain, and are also quite portable and easy to move around.

Take into account whether you’ll also need party tent walls and flooring. Cooler weather and evening events generally require side walls in order to keep your guests warm and cozy, and protect you from insects. If you’re bothered about insects, but don’t want to go with full side walls, opt for a party tent netting. If your dream party involves a dance floor or a stage, consider a party tent flooring - its type will largely depend on the climate and the type of event.

If you’re planning a big event, a formal celebration or a wedding party, don’t give up on your dreams, just because they’re costly. Go with the smart option and rent a party tent with Equipment & Event Rental - choose the best one, following our advice and give your guests a night worth remembering!

Tent Lighting

Rent Tent Lighting to Make Your Party Exciting!

Hello again everyone! Jack Egan here at Equipment & Event Rental with another rental blog post! If you haven’t met me before or haven’t read one of my other blogs, please scroll down to view my other posts.

Today I will inform you of a great way to bring your party or event to the next level. It will have your guests saying wow, and they will leave impressed with the amount of life and class you brought to your party. The way to do this is to illuminate the night, and add lighting to go along with your party tent. At Equipment & Event Rental, we offer three different types of tent lighting packages. These include the chandelier lighting package, opti-par lighting package, and the rope light tent package.

The first lighting package rental I will be explaining today is the Chandelier Lighting Package, which is a perfect way to bring light and elegance to your event. We have packages to cover any size square footage for your tent. For instance, if you were to rent a 20x30 tent, you would select the 600 square foot lighting package. The chandelier consists of durable white polycarbonate globes. It includes three 6 globe chandeliers and one 7 globe piece, and is held together by a PVC resin. These lights are sharp looking and will improve the quality of your event.

The second tent lighting package is the Opti-Par Lighting Package, which is a basic way to light your nighttime party. Similar to the chandelier package, we have them for all different tent sizes. This type of lighting has become a standard in the event rental industry and is the most recommended and versatile option in the business. They are constructed of heavy duty cast aluminum housing using a 575W Bulb and actually have a very low power consumption (only 5 amps!). The way they are set up in the tent is one is put at each corner, and tilted up allowing the tent top allowing the light to reflect throughout the tent. The opti-par lighting package is an essential piece of those late night backyard parties.

The final light package we rent is the Rope Lighting Package. This is the newest and most exciting package we have to offer here at Equipment & Event Rental. These lights come in strands that can wrap around the perimeter of the tent, giving it a beautiful mood-setting light.  There are many sizes available for each tent. The beauty and simplicity of this lighting can certainly bring that wow factor that leaves your party the most memorable one of the year. This style of lighting is not limited to only tents, we can also decorate entrances and anything else we can attach our rope lighting to.

So today I have explained to you the 3 different styles of lighting packages we rent, all of which bring professional quality to any party. Choose any of these packages to bring your party to the next level and I promise you will not only be happy you did but also your party ends your guests will leave impressed. Be sure to visit our blog often to read articles written by our own employees, such as myself, to get the best local advice! Or stop in, and someone on our staff will be more than happy to help. Party Tent Rentals versus Party Canopy Rentals

Frame Party Tents versus Party Canopies

Hello everyone, my name is Josh Matos here at Equipment & Event Rental and today Im going to be briefly explaining the major differences between Frame Party Tent rentals and Party Canopy rentals.

At Equipment & Event Rental we have convenient tent package rentals that include everything you need for your event.  Whether your event is for 30 people or 180 people, our tent packages make planning your party so simple that all you need to do is pick the color of your free linen rentals for your selected Party Tent Package.  Our tent package rentals are delivered and set up by our professional and courteous tent crew, making sure everything you order is just how you like it.

So whats the difference between a frame tent and a canopy? A Frame Tent is a self-supported structure with no center pole, maximizing your space underneath the tent.  Stakes at each corner anchor the tent and its rigid frame gives our frame tents an elegant look without sacrificing function. Frame tents need to be installed by our Tent Experts.

PartyCanopies, unlike frame tents, may be set up by the customer after some simple instruction if they would like to do it themselves.  Party Canopies have at least one center pole, depending on size, and are supported by tension.  Stakes at each side pole and corner pole keep the tent top tight as well as anchoring it to the ground.  Although there are no packages including Party Canopy rentals, they are a smaller and less expensive choice for the do it yourself-er.

No matter the size or nature of your event everyone here at Equipment & Event Rental hope that you choose us to meet your entire party rental needs to leave you feeling relaxed, happy and ready to party.  We are your go-to party rental destination in the Medford, Marlton, Voorhees and Cherry Hill NJ area. We hope to hear from you soon!

It's Party Time!

Who's ready to party?

Hello and welcome to Equipment & Event Rental Blog!
Whether you are planning a wedding, birthday party, graduation celebration, fundraiser or a family get together Equipment & Event Rental has all the essentials to make your party a success. From beginning to end we can help you choose all of the finishing touches and the fun extras that will assure your guests have a wonderful and memorable time.
Equipment & Event Rental carries a full line of canopies and tents for any size gathering.  Need tables and chairs?  Not a problem.  We can even help you choose the colors of linens if a theme is in order. All the necessary essential party items are covered and we even offer chaffing dishes, lighting, sound systems and dance floors.  But don’t overlook the really fun rentals that put the extra zip into your party.  When the occasion calls for it, consider adding to your rental one of our popcorn, snow cone, cotton candy and even a frozen daiquiri/margarita machine! How about letting us help you send that special someone splashing into a dunk tank while later you can dance the night away on one of our perfectly placed dance floors?
Picture your guests arriving to the smell of fresh popped popcorn  or cooling off with a piled high snow cone and just imagine the expressions on the little ones faces as they see the cotton candy being magically spun from colorful sugar crystals. We mustn’t forget the adults as they sip on a frozen margarita or pina colada.  Each of these machines has simple instructions, little if no set up time, and is easy to use.
All of our food service machines come to you sanitized and ready for service. With the popcorn machine all that needs to be done is to plug it in and to let it heat up. Add a package of pre measured oil and popcorn and watch the kettle fill with warm buttery popcorn ready to be served in our handy popcorn boxes or scoop it into your own container for the guest to share.
The cotton candy machine is quick to set up and easy to use. With the motor off, place the metal bowl over the head of the machine, run the plastic mesh around the inside of the bowl and fasten it at equal distances with the clips provided.  Place the bubble top over the metal bowl, fill the sugar port half way with one of our flavored sugars and turn the motor on. At this time you only need to turn on the heat switch and watch the cotton candy as it begins to cover the inside of the bowl. Using a cotton candy cone twirl the cotton candy around the paper cone and serve right on the cone or place it in a suitable container and it is ready to be gobbled up by the kiddies as well as the adults.

All of our concession machine rentals come with a handout set of instructions.
